This policy applies under the EU/EEA GDPR and the Swiss Federal Act on Data Protection (revDSG/FADP).

Why we use your data (legal bases)
  • Registration, ticketing, event communications, certificates – Contract (GDPR Art. 6(1)(b)).
  • Payments, invoicing, tax/accounting – Contract & legal obligation (Art. 6(1)(b)(c)).
  • Security/fraud prevention/operations – Legitimate interests (Art. 6(1)(f)).
  • Newsletter (if you opt in) – Consent (Art. 6(1)(a), withdraw anytime). No automated decisions with legal or similar effects.
What we collect
  • Identity & contact: name, email, optional phone numbers.
  • Billing: address, VAT/UID (if applicable).
  • Tickets & attendance: ticket/day selections, order/attendee IDs, check-in status.
  • Payment metadata: TWINT transaction reference/status/amount (we do not store payment instrument details).
  • Technical data: IP, browser/device, pages visited, timestamps (security/operations).
  • We do not host public comments and do not run ads.
Who processes your Data
  • Hosting: Hostpoint AG (CH) – website/database/email (processor).
  • Self-hosted plugins: WooCommerce, FooEvents, Fluent Forms (data in our own database; not separate controllers).
  • Payments: TWINT via our direct WooCommerce gateway (TWINT is an independent controller for payment processing; we receive transaction metadata only).
  • Email delivery: Hostpoint mail
    We keep processing terms with our hosting provider; others are part of our own system.
International transfers

Primary hosting is in Switzerland. No routine transfers outside CH/EEA. If needed, we use adequacy or Standard Contractual

Retention
  • Orders/invoices: 10 years.
  • Event logistics (attendance/certificates): 2 years after the event.
  • Form inquiries: 12 months.
  • Newsletter: until you unsubscribe.
  • Security logs: ~90 days (longer if investigating).
    Then we delete or anonymize.
Photography
  • By registering for the conference, you agree that photos may be taken of you during the event. These photos may be published on our social media channels and on our website. If you do not agree to this policy, please let us know before the congress begins at privacy@swiss-sonodays.ch
Cookies (essential only)

WooCommerce: cart/session cookies (woocommerce_cart_hash, woocommerce_items_in_cart, wp_woocommerce_session_*).
WordPress (admins only): wordpress_logged_in_*, wordpress_sec_*, wp-settings-*.
TWINT may use cookies/local storage on its own domains to complete payment.
